INFO FOR OUR VENDORS
Festival is located on the grounds of Westminster Church, 3488 Godwin Blvd. Suffolk VA, 23434

  • ​Load-in begins at 7:30am. Cars must be out of the vendor’s booth area by 9:30 am.
  • ​CHECK-IN at the MERCH TENT for your booth assignment. We will not be assigning specific spaces- instead we will allow vendors to choose a spot based on a specific cone color. This color will be communicated with you upon arrival. The cones will be in the middle of two parking spots, this will be your booth.
  • Some vendors have reached out to us with specific needs and will have a reserved space. We will follow up with you individually closer to the event to communicate where you will be located.


A few general reminders:
  • We provide a 10x10 space (approximately two parking spaces.)
  • We have a limited number of tables available and they will be distributed as requested on applications.
  • The $50 deposit will be returned after the festival ends (as soon as we can reasonably process the return).
  • Arriving later than 9:30am and packing out earlier than 4pm will revoke your deposit refund.
  • The event is rain or shine. If for some reason the festival must be cancelled, refunds will be made on deposits.

TERMS AND CONDITIONS
FESTIVAL HOURS: April 27 10-4pm
SET-UP TIMES: Saturday, April 27, 7:30 am - 9:30 am
DISPLAYS: Artists must provide their own display unit(s). Electricity is NOT provided. A standard space is 10ʼx10ʼ.
IN CASE OF RAIN: The festival does not have a rain date. Artists are encouraged to have suitable material to protect their work. A weather watch is maintained and artists will be informed of impending storms by the Festival Committee. The decision to close the show due to weather is at the sole discretion of the Suffolk Earth and Arts Festival Committee.
Artists leaving or packing out without approval of the committee is prohibited. Refund of deposit revoked by leaving or packing out early!
SALES TAXES: Each exhibitor is responsible for collecting applicable sales taxes. Tax forms will be provided at the festival.
STANDARDS: We ask that you maintain family-friendly products in your booths. We are not allowing direct sales or multi-level marketing booths. We will verify that your products reflect the represented products in your application.
All displays will be reviewed by the standards committee at intervals throughout the show to ensure all items in the booth meet our standards. The artist will be required to remove ineligible items based upon show standards.
Artists violating the rules of this show or who fail to cooperate with the festival committee may be asked to leave.
FEES: The booth deposit is $50. Deposits will be returned to participating vendors within seven days of the festival's end. Do not pay with cash or money order. Your booth deposit check will be returned if you are not selected.
THE SELECTION PROCESS: Selection is based on creativity, technical ability and use of medium. We encourage participation from all and select varying degrees of ability. The selection process is based solely on the images submitted and does not take into account factors such as prior history with the festival planners. No direct sales marketing companies.
DIGITAL IMAGES may be used for advertising at the committee's discretion.
NOTIFICATION: Notice of selection will be emailed the week of March 20, 2019.
